Welcome!

You said “YES” and now you’re dreaming about saying “I do” with ocean views, tropical sunsets, and your favourite people celebrating right alongside you. But after a few Google searches on how to plan a destination wedding, things probably started feeling a little less dreamy and a whole lot more overwhelming.

Suddenly every resort starts looking the same and terms like “contracts,” “room blocks,” and “group perks” have your head spinning. Trust me, I get it because I was once the bride sitting on my couch after long hospital shifts searching for the “best honeymoon” and feeling completely overwhelmed myself.

That’s exactly why I do what I do today.

Hi! I’m Kayla, your destination wedding and honeymoon expert at Love & Waves Travel, and after personally visiting 100+ resorts throughout Mexico and the Caribbean, helping countless couples navigate the planning process, and building trusted relationships throughout the industry, I help make destination wedding planning seamless and actually FUN again.

Tips on How to Plan a Destination Wedding

Whether you have a Pinterest board packed with ideas or you’re wondering where in the world to even begin, let’s walk through the first steps to planning a destination wedding together.

Begin With Your Vision

Before you dive into resort options or wedding packages, take a step back and think about the vibe you want for your wedding experience.

When couples start thinking about how to plan a destination wedding, they often think they need to have every detail figured out as soon as possible. I personally wouldn’t put that kind of pressure on yourself.

What matters most in the beginning is determining your vision.

Do you picture an adults-only luxury resort in Mexico? Maybe you want a lively Caribbean resort where your guests can turn the trip into a full vacation experience. Or maybe you’re dreaming of something smaller, quieter, and ultra romantic.

Set Your Budget

Another key factor is your budget… and one thing I want to remind couples of is that destination weddings are not automatically cheaper than traditional weddings. They can be, but there are still many moving parts to consider including travel, accommodations, wedding packages, vendor costs, and guest experience.

Once you know your priorities, the entire process becomes so much easier. Decide how much money you want to put towards your wedding. Then decide how much you want to spend for each category using your priorities as the guideline.

Choose a Resort

This is honestly one of the biggest decisions when it comes to planning a destination wedding in Mexico or the Caribbean.

Not every all-inclusive resort is designed for weddings, and not every beautiful resort online will actually be a good fit for your guests or your vision.

This is where it can quickly become overwhelming, because there are SO many options online. One resort may have gorgeous wedding venues but no beach access. Another may look stunning on Instagram but may not be able to handle your guest count.

When helping couples plan a destination wedding, I take into consideration the entire experience, guest count, and wedding vision.

I help my couples think through things like how easy it is to find flights for guests, how far the resort is from the airport, what the overall vibe of the property is, and whether the resort truly aligns with their dream wedding.

Choose The Dream Vendor Team

One of the absolute best tips for planning a destination wedding is to build the right team early on.

Planning from another country can feel incredibly intimidating, especially when you’re trying to coordinate timelines, vendors, guest travel, and resort communication all from home.

I want you to know that you should never feel like you have to figure this out alone.

Communicate with Guests Early On

One thing couples often underestimate when learning how to start planning a destination wedding is just how much communication guests need.

Unlike local weddings, destination weddings require guests to plan farther ahead financially and logistically. They need time to request time off work, budget for travel, arrange childcare if needed, and coordinate flights.

I always recommend sending Save-the-Dates at least a year in advance whenever possible.

Creating a wedding website is also incredibly helpful because it gives guests one easy place to find travel information, booking instructions, dress codes, schedules, FAQs, and updates.

Trust me, this alone can save you from answering the same questions over and over again for the next 12 months.

Don’t Forget to Prepare for the Unexpected

If there’s one thing travel has taught me over the years, it’s this: be flexible.

One of the smartest things you can do while planning a destination wedding is prepare for situations you hope never happen.

Always carry your wedding attire onto the plane instead of checking it. I cannot stress this enough. Bring a portable steamer too because destination humidity is no joke.

You’ll also want to make sure your venue has a backup weather option you actually love. Tropical destinations are beautiful, but weather can shift quickly.

And please, please consider travel insurance.

I strongly encourage insurance for both couples and guests because flight delays, weather disruptions, illnesses, and emergencies happen far more often than people realize. Having that protection in place provides so much peace of mind.

Bonus Tip on Planning a Destination Wedding in Mexico

If you’re specifically researching how to plan a destination wedding in Mexico, you’ll want to take the weather into consideration. Hurricane season, rainy seasons, and even extreme heat can all impact your experience if you aren’t planning strategically.

This is exactly why using a destination wedding planner for Mexico who knows these resorts firsthand can save you so much stress and time.

Why Hire a Travel Agent For Your Destination Wedding

Having a trusted travel agent in your corner is no different than hiring an amazing photographer or wedding planner. Yes, online booking sites may seem convenient, but those giant websites don’t know you personally, and they definitely aren’t advocating for your guests when issues arise.

The difference when working with Love & Waves Travel is that you’re getting actual personalized service, direct communication, professional guidance, and someone who truly cares about your wedding experience from beginning to end.

My goal will always be to fully support my couples with custom-tailored resort recommendations, guest travel management, wholesale partner access, VIP perks when available, and responsive support throughout the entire process.

As your Travel Agent Bestie, I’ve dealt with delayed flights, hurricanes, cancellations, travel emergencies, and every imaginable guest question so you don’t have to panic when something unexpected happens.

And honestly? Something almost always comes up during travel. The difference is whether you have someone experienced helping you navigate through it or not.
